Email archival is one way to get
organized and clear up some of
the clutter.
By using the Tools menu in
Outlook, simply select Options
and then the Other tab. Clicking
on the Auto Archive button
provides a screen for setting the
Properties.

to set up email archives and
automatic deletion processes. For

Eliminate Your Email Clutter
(And Other Computer Tips)

Email is convenient and quick. But
it could be the wrong medium for
your message.
Before dashing off your next email,
take a second to think about the
information you are sending.
Would it be better understood in a
face-to-face conversation? Is there
a chance important data or
deadlines could be missed because
the recipient's inbox is overflowing?
In a recent survey
of nearly 1000
organizations by
IABC (International
Association of
Business
Communicators)
email was the most
frequently used
means of
communication at
90%. Yet, its
effectiveness was
ranked at only 55%.
Other Space Saving Tactics
Archiving and deleting old mail are
excellent ways to save space on
the mail servers, but there are
other ways to achieve the same
result:
Don't let your Sent Items folder
become too large. Especially be on
the lookout for messages with
attachments. Every time you
forward a message, the original
message is included in the reply
and saved to your folder. If the
original message has a large
attachment, you will be making an
unnecessary copy of that
attachment.
Instead of keeping mail messages
with attachments, save the
attachments as files on your hard
drive or network drive and delete
the mail message.
Too Much of a Good Thing
Good communication is essential to
good business and good
relationships. Be sure to use all the
means of communicating at your
disposal, ranging from hi-tech to
the old-fashioned personal touch.
That never goes out of style.
